It’s really important for you to get lead response timing under a minute. Nobody can respond to web forms and emails and phone calls all at the same time in under a minute.
Where to start with automation
So what is the fix? And this is where you want to invest in some automation.
There’s a lot of platforms that attempt to do this already. If you’re using HubSpot, they have automation tools to respond back to clients. It’s mainly up to you to set this up, but if you want to go more technical route, you can look at n8n and create your own workflows.
The system we use
What we like to do and what we recommend is we have our intake forms, like forms, calls, emails, they get categorized as a warm lead.
As soon as they’re categorized, we get a call directly from the system. It explains what they filled out on the form, what they said in the email on the phone, and then automatically calls the client or the potential prospect in under a minute.
So as it’s ringing, our guys are getting the info.
If they’re interested, if they’re feeling the pain, you want to catch them in the moment. So that’s what we attempt to do. We try to hit them in under one minute.
Sometimes the prospect does not pick up right away.
It’ll send them a backup email or text. Let them know that we got their message and we’re ready to solve their problem.
It does not replace the conversation
So a system like that is not, it’s not very complicated. It doesn’t replace the conversation.
It’s just logging the conversation, ensuring that the customer, the prospect, is getting their information and getting feedback for their inquiry right away. And it’s making sure that conversation gets followed up on and happens.
So really it’s not about complicated systems or adding more people. It’s about making sure that the gaps are closed, making sure that every opportunity for more revenue for your company is being captured.
Why it pays off
The real problem is that your team doesn’t know the lead is there.
And if you can increase your show rate and close rate because you’re providing the customer with a better service, which is more respectful of when their pain arises and more receptive to the timing that they had in mind, I think that’s the way, and that’ll be the key going forward.
