Automating your invoice reminders is not about the 10 minutes you save. It’s about the rest of your day that you spent on one problem. And the rest of the day that you were able to focus on your bottlenecks and not reminding people that they need to pay you for your services.
Why reminders do not go out
They either don’t send them out because it’s awkward and they don’t want to ruin that client relationship, or it’s just a stress. And so having a system to do the hard work for you, it’s really nice.
And if you’re in like a service business or if you’re working with a lot of tenants, for example, with property management, this might look like rent reminders, maintenance, additional fees, whatever it is. You don’t want to have to be sending those emails out manually.
Why a personal email works better
And a lot of people have automated processes through QuickBooks and such, but a lot of people ignore QuickBooks emails.
And if you have a personal touch, you’re more likely to get through with people, especially if it’s coming from a personal email, they’re more likely to read it. And I think, in my opinion, more likely to act.
So sending those emails yourself is draining and nobody wants to do it. And they need to be done. You need to haggle for the money of the service that you provided this person and they need to pay.
The simple version
So what I would recommend here is a simple automation. Connect your email provider of choice. I use Gmail.
So what I would do is set up a scheduled task in Claude to run every day. You start the job by detailing someone who has unpaid bills.
And what it will be doing is drafting custom personalized emails to this person, telling them, hey, you’re behind on X payment. I need this payment remitted to this point. And a step-by-step of exactly what they can do to get you your money.
Take it a step further
Now, if you wanna take this a step further, we’re able to provide a system where we’re summarizing incoming emails.
So we use this and we connect it with this existing automation of reminders and now we suddenly can mark jobs as done or paid should the client email back, say, hey, I paid. They can stop getting reminders for a little while. You can go back in, restart that job if they actually didn’t pay.
Why it matters
So this is a good example of not immediately and obviously a time saver, but immensely valuable and definitely goes to protect the mental well-being of your team or yourself as a business owner.
If you’ve never vibe coded, if you’ve never used AI before, do one of these projects. They’re so easy.
